How Much Do Managed IT Services Cost in Surrey, BC? (2026 Pricing Guide)

How Much Do Managed IT Services Cost in Surrey, BC? (2026 Pricing Guide)

Short answer: most small and mid-sized businesses in Canada pay between $100 and $300 per user, per month for managed IT services. A fully managed plan that includes help desk, 24/7 monitoring, cybersecurity, backup and Microsoft 365 management usually lands around $175–$250 per user, and Vancouver-area businesses typically see about $180–$250 per user for that level of coverage.1

That is a wide range, and the number on a quote only means something once you know what is included. This guide explains how managed IT is priced in Surrey and the Lower Mainland, what drives the cost up or down, and how to compare quotes so you are not surprised by extra invoices later.

What are managed IT services?

Managed IT services are an ongoing, flat-rate arrangement where an outside IT company monitors, secures and supports your computers, network, cloud and users. Instead of paying per repair, you pay a predictable monthly fee for proactive maintenance, a help desk, cybersecurity and backups. What should a managed IT plan include?

Two quotes of $150 per user can be very different services. Before you compare prices, check that each quote covers the same things. Use this checklist:

  • Help desk support – phone, email and remote support for your staff, with clear response times.
  • 24/7 monitoring and patching – updates for Windows, macOS and key software, and alerts before problems cause downtime.
  • Endpoint security – managed antivirus or endpoint detection and response (EDR) on every laptop, desktop and server.
  • Email security – spam and phishing filtering, plus multi-factor authentication (MFA) on accounts.
  • Backup and disaster recovery – including Microsoft 365 data, with restores that are actually tested.
  • Microsoft 365 administration – user setup, licences, security settings and SharePoint/OneDrive permissions.
  • Network and firewall management – Wi-Fi, switches, firewalls and VPN.
  • Vendor coordination – dealing with your internet provider, printer company and software vendors for you.
  • On-site support – whether visits are included or billed per hour.
  • Strategy (vCIO) reviews – regular planning for budgets, hardware replacement and security improvements.

If a low quote leaves out security, backup or on-site visits, you will usually pay for those later as extras.

What makes managed IT cost more or less?

1. Number of users and devices

Per-user pricing is the most common model because it scales with your team. A business with many shared devices, such as a clinic with front-desk PCs and exam-room computers, may be better served by per-device pricing.

2. Security and compliance needs

Advanced security (EDR, managed detection and response, MFA everywhere, security awareness training) adds cost, but it is also what insurers and regulators increasingly expect. Clinics, law firms and accounting practices usually need stronger controls and documentation. See our cybersecurity services for what this looks like in practice.

3. Response times and hours of coverage

Business-hours support costs less than guaranteed 24/7 response. Ask each provider to put response times in writing.

4. Cloud and Microsoft 365 scope

Managing Microsoft 365, Azure, file servers and line-of-business applications takes more work than supporting a few laptops. Our Microsoft 365 services page explains what we manage.

5. How much IT you already do yourself

If someone in-house handles basic tasks, a co-managed or monitoring-only plan can cost less than full outsourcing.

Example: what a 20-person office might pay

Using the Vancouver-area range above, a 20-person office on a fully managed plan would typically budget roughly:

  • 20 users × $180 = $3,600 per month at the lower end
  • 20 users × $250 = $5,000 per month at the higher end

Hardware, software licences (such as Microsoft 365) and one-time projects are usually billed separately, so ask for them to be listed on the quote.

Is managed IT cheaper than hiring in-house IT?

Often, yes, especially for smaller teams. One full-time IT employee costs a salary plus benefits, needs holidays and sick days covered, and cannot be an expert in networking, cybersecurity, cloud and Microsoft 365 at the same time. A managed IT provider gives you a whole team, 24/7 monitoring tools and security software for one predictable monthly fee. Learn more about our managed IT services.

How to compare managed IT quotes

  1. Ask for the price per user and exactly what is included (use the checklist above).
  2. Check what is excluded: on-site visits, after-hours work, projects, new-user setup.
  3. Ask for written response times and how urgent issues are handled.
  4. Confirm how backups are tested and how quickly data can be restored.
  5. Look at the contract length and the notice period to cancel.
  6. Ask for local references from businesses like yours.

Hidden costs to watch for

A low monthly price can hide costs that appear later. Watch for these when you read a proposal:

  • “Best effort” support with no written response times.
  • Hourly billing for anything outside the plan, such as new-user setup, printer issues or after-hours emergencies.
  • Security tools sold as add-ons after the contract is signed.
  • Backups that are not tested, which you only discover during a real outage or ransomware attack.
  • Long contracts with auto-renewal and a short window to cancel.

A good provider will explain these points up front and put them in the agreement.

Frequently asked questions

Do managed IT services include Microsoft 365 licences?

Usually not. Most providers manage Microsoft 365 as part of the plan but bill the licences separately, at Microsoft’s price.

Are there setup or onboarding fees?

Many providers charge a one-time onboarding fee to document your systems and install monitoring and security tools. Ask for it to be shown separately on the quote.

Can a small business with 5 employees use managed IT?

Yes. Per-user pricing makes managed IT practical even for very small teams, and they often benefit the most because they have no IT staff at all.
