Tax Season IT Checklist for Canadian Accounting Firms

Tax Season IT Checklist for Canadian Accounting Firms

For a Canadian accounting or bookkeeping firm, the busiest weeks of the year are the worst possible time for a server to fail, a laptop to die or an account to get locked out. Yet that is exactly when it tends to happen: systems are under the most load, staff are rushing, and scammers know firms are distracted. This checklist helps you get your technology ready before tax season starts, and keep it running until the last return is filed.

Key dates and rules to plan around

  • Most individual returns are due April 30; self-employed individuals have until June 15, though any balance owing is still due April 30.
  • Since July 15, 2025, representatives must request access to individual clients through CRA’s Represent a Client service rather than EFILE software (CRA).
  • Business records, including electronic records from tax and accounting software, generally must be kept for six years from the end of the last tax year they relate to (CRA).

Before the season: January to early February

  • ☐ Install all updates on every workstation and server, including tax software, before the rush, not during it.
  • ☐ Check hardware health: replace any laptop or drive showing warning signs now.
  • ☐ Test a backup restore of last year’s client files. If you cannot restore a file in minutes, fix it before March.
  • ☐ Review CRA access: every staff member has their own Represent a Client credentials and MFA; nobody shares logins.
  • ☐ Prepare seasonal staff devices and accounts in advance, with access limited to what each person needs.
  • ☐ Confirm remote access works for anyone working evenings and weekends from home.

During the season: February to April

  • ☐ Freeze non-urgent changes. No new software, migrations or “small upgrades” until after the deadline.
  • ☐ Use a secure client portal or SharePoint sharing for slips and statements instead of email attachments.
  • ☐ Remind staff weekly about tax-season scams: fake CRA messages, fake clients asking to change direct-deposit details, and urgent “invoice” emails.
  • ☐ Have priority IT support agreed in advance, including evenings and weekends.

After the season: May to June

  • ☐ Remove access for seasonal staff on their last day.
  • ☐ Archive the season’s files and confirm backups cover the full six-year retention period.
  • ☐ Review what went wrong and schedule upgrades for the quiet months.

The five tax-season failures we see most

Server or shared drive becomes painfully slowProactive server management and capacity check in January
A key laptop fails mid-weekSpare device ready, files in the cloud, fast help desk response
Staff locked out of CRA servicesIndividual credentials, backup MFA methods set up before the season
A fake client email changes deposit detailsPhone call-back rule and email security
Ransomware encrypts client filesEndpoint protection, MFA and backups ransomware cannot reach

Frequently asked questions

Should we move to the cloud before tax season?

Not during it. Plan migrations for late spring or summer, test them properly, and go into the next season on a stable setup.

How long should we keep client tax files?

The CRA generally requires business records to be kept for six years from the end of the last tax year they relate to. Your backups and archives should cover at least that period.

Is emailing PDFs of tax slips safe?

It is risky. Email can be intercepted or sent to the wrong person. A secure portal with expiring access is safer and easier for clients.
