Windows 365 Cloud PC: A Smart Fix for Old Windows 10 Computers?
A Cloud PC is a complete Windows computer that runs in Microsoft’s cloud through Windows 365 and opens from almost any device, including a Mac, iPad or older laptop. It is worth it when staff use several devices, you onboard contractors often, or you need company data kept off personal machines. It is a poor fit for graphics-heavy work or offices with unreliable internet.
If your office still has Windows 10 computers, you have probably heard the advice: “upgrade or replace them.” There is a third option many small businesses have never considered: a Windows 365 Cloud PC. It is a complete Windows 11 computer that runs in Microsoft’s cloud, which staff open from almost any device.
It is a smart fix in some situations and the wrong choice in others. This guide explains both, honestly, and corrects one common misunderstanding about Windows 10 security updates.
Key takeaways
- A Cloud PC is a full Windows desktop hosted by Microsoft, paid per user per month, with no hardware to buy.
- You pay a fixed monthly price per user, based on the size of the Cloud PC. See current prices for every size in our online store.
- It works best for remote staff, contractors, seasonal workers and offices with older PCs that are otherwise fine.
- Important: Microsoft’s free Windows 10 security-update benefit for Cloud PC users applies to Windows 365 Enterprise and Flex, not Windows 365 Business.
What exactly is a Cloud PC?
Think of it as renting a Windows computer that lives in a Microsoft data centre. Your staff sign in through the Windows app or a web browser and see their own Windows desktop, with their apps, files and settings. The physical device in front of them, whether an old laptop, a Mac or a tablet, becomes just a window into that computer.
Because the Cloud PC is managed and updated by Microsoft’s platform, it always runs a supported version of Windows. If the laptop is lost or stolen, no company data is stored on it.
The Windows 10 security-update myth
You may have read that using Windows 365 gives your old Windows 10 computers free Extended Security Updates. That is only partly true. According to Microsoft’s documentation, Windows 10 (version 22H2) devices used to connect to Cloud PCs are entitled to ESU at no extra cost until October 13, 2028, but only for users with Windows 365 Enterprise or Windows 365 Flex, and only after the ESU policy is configured on the device.
Windows 365 Business, the edition most small businesses buy, is not on that list. So if you choose Windows 365 Business, plan to upgrade, replace or separately protect the Windows 10 devices people use to connect. Our Windows 10 deadline guide explains those options and costs.
When a Cloud PC is a great fit
- Remote and hybrid staff. Everyone gets the same secure desktop at home, in the office or on the road.
- Contractors and temporary staff. Give them a company desktop for three months, then switch it off. No laptop to buy, ship or recover.
- Seasonal teams. Tax season, construction season or retail peaks: add Cloud PCs when you need them, remove them when you do not.
- Bring-your-own-device. Staff can use personal devices without company data ever being stored on them.
- Older PCs that still work. A capable older machine with a supported OS can stay in service as an access device while the real work happens in the cloud.
When it is the wrong choice
- Weak or unreliable internet. No internet means no desktop. If your office connection drops often, fix that first. See our networking solutions.
- Heavy graphics, video or CAD work. Business Cloud PCs are designed for office work, not 3D rendering or video editing.
- Staff who sit at the same desk every day. Over four or five years, a good business PC can cost less than a Cloud PC subscription. Do the math before you switch.
The honest cost comparison
| New business PC | Windows 365 Business Cloud PC | |
|---|---|---|
| Upfront cost | Full hardware price | None |
| Monthly cost | None (plus support) | Fixed price per user, per month |
| Over 4 years | One PC purchase | 48 monthly payments: multiply the monthly price by 48 to compare |
| Add or remove a user | Buy, ship, set up, recover | Assign or remove a licence |
| Lost or stolen device | Data at risk unless encrypted and managed | No company data on the device |
Rule of thumb: Cloud PCs win on flexibility and security; local PCs win on long-term cost for permanent, full-time desk staff. Many businesses use both.
Which size should you choose?
- 2 vCPU, 4 GB RAM: email, web apps and light document work.
- 2 vCPU, 8 GB RAM: the sensible default for most office staff using Outlook, Excel, Teams and a browser together.
- 4 vCPU, 16 GB RAM or more: large spreadsheets, accounting or practice-management software, many apps open at once.
Storage (64 GB to 512 GB) depends on how much is saved on the desktop itself. Most businesses keep files in OneDrive and SharePoint and choose 128 GB.
A Cloud PC gives you Windows, not Office. Staff still need a Microsoft 365 licence for email and Office apps. Our guide to Microsoft 365 Basic vs Standard vs Premium helps you choose.
Frequently asked questions
Can staff use a Mac or iPad to access a Cloud PC?
Yes. Users connect through the Windows app or a web browser from Windows, Mac, iPad, iPhone and Android devices.
Do Cloud PCs still need antivirus and security settings?
Yes. A Cloud PC is still a Windows computer, so it needs proper endpoint protection, MFA and sensible policies.
What happens to the Cloud PC if someone leaves?
You remove or reassign the licence. Their desktop can be reset for the next person, with no hardware to collect.
Is a Cloud PC worth it for developers?
Often, yes, particularly for contractors and teams that need identical, ready-to-use development environments. A Cloud PC can be set up in hours, keeps source code off personal devices and can be removed the day a contract ends. Choose a size with more processors and memory for compiling and running local tools. For GPU-heavy work, large local datasets or hardware testing, a physical workstation is still the better choice.
